Privacy

Plain-language summary

• We collect only what you give us. Your email, your name, your chapter, your birthday (if you give it), your postal address (if you opt in), and the confirmed facts you choose to share.
• We do not enrich your record from public sources without asking. AI may propose candidate facts (e.g. from inbound email), but candidate facts are stored separately and require your confirmation before they are used.
• We do not sell your data. We share it only with named providers when needed to deliver the service. Resend and Cloudflare support the current waitlist launch; Stripe is not active and no payment is collected.
• We do not use your data to train general AI models. Member data is used to run Plans With You; it is not exported for model training.
• We do not infer sensitive personal categories for personalisation (health, political affiliation, religion, sexuality, etc.).
• You can ask us to forget any of it. Account deletion stops future personalisation and triggers the data-removal workflow.

What we keep

• Your email address (to write to you)
• Your first name and any preferred name you give us
• Your chapter or metro area, if you give it (so chapter letters are accurate)
• Your birthday, if you give it (so a card can be sent on the right day)
• Your postal address, if you opt in to physical mail (so we can post to you)
• Confirmed facts you choose to share, plus your do-not-mention list
• Membership record (tier, state, joined date, tenure)
• Correspondence history (sent and received, with content for audit)
• Required financial records (kept for the minimum period required by law, then removed)

What we do not do

• We do not enrich your record from public sources without asking.

• We do not use your data to train general AI models.
• We do not infer sensitive personal categories for personalisation.
• We do not invent facts about you.
• We do not claim fictional characters, locations, or partnerships as real.

Your controls

In the member portal you can see exactly what we remember about you, edit or remove any fact, mark any fact as "do not mention", export a copy of your data, and request account deletion. You can ask us to forget any of it at any time. The operator can also action this on your behalf.

Provider relationships

The third parties we share data with, and the reason:

• Resend — to send and receive email. Resend receives your email address and the content of correspondence. Resend is bound by its own privacy policy and data processing terms.
• Cloudflare — to host the application, store data in D1 and R2, and serve traffic. Cloudflare is bound by its own privacy policy and data processing terms.
• Stripe — planned for payment processing only when billing is enabled. Stripe is currently disabled; the waitlist collects no payment method or billing history.

Retention

When you ask to be forgotten, we stop future personalisation and remove your personal data subject to legitimate retention requirements (for example, financial records we are required to keep for a number of years).

Your rights

Under Australian Privacy Principles and applicable law, you have the right to: (a) request access to the personal information we hold about you; (b) request correction of inaccurate information; (c) request deletion of your information; (d) make a complaint.
